FAQ / Software & CRM

Your questions about software & crm

Budget, process, integrations and ongoing support: answers to help plan your project.

Should we use an existing CRM or custom software?

An existing CRM is useful when its standard features cover the main sales process. Custom software may suit specific business rules, interfaces or workflows. We compare gaps, integrations, ongoing costs and your team’s ability to operate the proposed solution.

Which processes can business software cover?

Lead qualification, quotes, project tracking, customer requests, documents and reporting can be connected according to your needs. Scoping defines users, responsibilities and data at each stage. A limited first release allows you to validate actual use before expanding the platform.

What determines the cost of a CRM or internal platform?

Users, business rules, data sources, integrations and customisation all affect the budget. Licences, hosting and maintenance matter too. We price a defined scope and distinguish initial implementation from recurring costs so you can assess the complete commitment.

Can you improve the CRM we already use?

Yes. Work may focus on pipeline structure, fields, views, permissions or integrations. We first examine everyday usage and the difficulties people encounter. A replacement is not always necessary: clearer processes and simpler data entry may solve part of the problem.

How do you migrate spreadsheets or an old CRM?

Migration begins with an inventory, backup and field mapping. Duplicate and missing data are identified. A sample is imported and reviewed before a full switch. Matching rules, acceptance checks and a rollback approach should be established before major changes.

How are team permissions and confidential data handled?

Roles are defined around tasks such as reading, editing, exporting and administration. Access is limited to useful data, with individual accounts where supported. Logging, backup and retention needs are scoped around your organisation’s requirements and the capabilities of the selected tools.

Can the CRM connect to email, the website and invoicing?

Connections depend on providers’ APIs and features. We identify the source of truth, sync direction and duplicate-handling rules. Failures should be visible so an enquiry or invoice does not silently disappear between tools. The operational owner must know how to handle exceptions.

How do you help teams adopt a new system?

Users contribute to scoping and trials. Screens prioritise common tasks and necessary fields. A phased launch, realistic examples and an internal owner support adoption. Observing real obstacles after launch is more useful than adding features that nobody uses.

What happens before the software goes live?

We define user journeys, prepare an initial version and test permissions, data and connections against representative cases. Acceptance criteria make review concrete. Launch includes a transition plan, responsibilities and a way to manage issues discovered during the changeover.

Can we extend the software and export our data later?

Exports, administrator access, documentation and dependencies are specified in the agreement. A suitable architecture supports change, while third-party tools still impose limits. It is useful to define both the evolution process and an exit approach before implementation.
